We're Hiring: Office Administrator

The Office Administrator will provide support to ensure efficient operation of our Boston office which consists primarily of landscape architects within the Halvorson | Tighe & Bond Studio. The successful candidate will provide support to all levels of technical and operational staff. This position is a 30 hour per week position with full benefits.

Qualifications:

  • 3-5 years of experience in an administrative role

  • Proficient capabilities in Microsoft Office 365 (Outlook/Calendar, Word, Microsoft Teams, Excel, and PowerPoint, In Design required)

  • Excellent written and verbal communication skills for both internal and external audiences

  • Team player mentality, “can do” attitude, and professional presence

  • Capability to make independent decisions and manage multiple priorities

Responsibilities:

  • Provide document formatting and processing as needed

  • Assist with projects including opening new projects; preparation of spec books and contracts; assist with the preparation of RFIs, addendums, etc.; and coordinate, transmit, and log submittals and RFIs for selected projects

  • Assist with proposal preparation

  • Answer phone, greet visitors, process incoming and outgoing mail, monitor and maintain office supplies

  • Work with office equipment vendors and building maintenance

  • Work with Tighe & Bond IT and vendors to ensure operations of plotters, copiers, staff computers, network and video conferencing resources in conference rooms.

  • Schedule and coordinate meetings, including ordering and delivery of food, and help staff as needed for video conferencing set-up

  • Schedule and coordinate attendees for training and/or professional development

  • Assist with on-boarding activities for new hires

  • Other administrative tasks as requested
